Description: Steps and FAQs for setting up Auto-Numbering of Licenses
Steps:
The Munidex, Inc. Pet Licensing system has a feature which allows the users to decide if they want the system to automatically assign the next available license number to the next transaction (Dogs and Cats are obviously numbered separately).
This feature can be engaged by the user, or disengaged by the user without the need to contact Munidex, Inc. The process is quite simple. Any logged-on user can initiate the process, following the steps listed below.
1. Left Click on the “Table” Menu Button, then Left Click on the “Municipal and Equip” table.
2. When this table appears on the screen, two things must be changed to activate the
automated assignment of license numbers.
A. The very first field on the upper left hand corner of the screen (AUTO NUMB) must be checked to activate automatic assignment. It must be unchecked (blank) to deactivate automatic assignment.
B. Click on the Page 3 Tab. In the right hand column the second and third fields from the top are named LASTDOG and LASTCAT. In these fields enter the numbers of the Last Dog and Cat Licenses you have issued. Obviously for the first day of a new year, both of these numbers should be 0.
3. When adding or renewing a Dog or Cat License the system will fill the License
Number with the next available number.
4. The user always retains the option to “over-write” the pre-assigned number.
1. My automatic numbering of licenses got out of sequence – or is somehow
screwed up (Might be causing problems with VPH 10 Report). How do I correct it?
Answer:
No matter the reason, the following solution applies.
Those clients who use the automatic license numbering system will have the last issued dog and cat license numbers showing on the upper right hand corner of the posting screen. They should write these down for future reference.
Then, go to Tables, Municipal and Equipment and select it (It is basic2.dbf). Uncheck the first item in the upper left of page one (Auto Numb), save the change, and have everyone exit the system.
When you go back in, Automatic Numbering is turned off. Do whatever manual entries and/or corrections are necessary to fix the problem(s). If this includes issuing any number greater than the ones you wrote down, make a note of it.
When done, go to Tables, Municipal and Equipment and select it (It is Basic2.dbf). Check the first item in the upper left corner of page one. If you have added any numbers which exceed the “last issued numbers that you wrote down, go to page 3 and enter them in the third column.
Save the changes and have everyone (including yourself) exit the system.
When you go back in, Automatic Numbering is turned on. You can now proceed as normal.
2. Can I delete a License and reuse the number?
Answer:
Yes, once deleted the number is free. In addition the system will not allow duplication of license numbers within the same year.
